They are desks and benches at chair height, wardrobes and coat hangars that are adapted, peep holes at chair height, fridges and all appliances that can be easily accessed and more.</span><br /><br /><span style="color:rgba(0, 0, 0, 0.9)">The</span><span style="color:rgba(0, 0, 0, 0.9)"> </span><a href="https://www.linkedin.com/company/tanoa-hotel-group/" target="_self"><span>Tanoa Hotel Group</span></a><span style="color:rgba(0, 0, 0, 0.9)"> </span><span style="color:rgba(0, 0, 0, 0.9)">in Nadi clearly understand this. The end result is an event that loses sight of its roots and is a world away from the reason you are raising money.<br /></span><br /><span style="color:rgb(123, 140, 137)">The event becomes its own entity and disconnects with its reason for being. What is wrong with having a great stand alone event as long as it raises money? The answer is engagement. How can you engage with your audience when you don&rsquo;t reflect the values of the cause?</span><br /><br /><span style="color:rgb(123, 140, 137)">This is an easy trap to fall in to but one that can easily be avoided with the simple question throughout the planning, &ldquo;how does this event align with the cause?&rdquo;.</span><br /><br /><span style="color:rgb(123, 140, 137)">Time and time again I have seen well meaning, professional and elaborate events strive for the greatest of success but forget about the values of why they are doing it, especially when it comes to the small details.<br />&#8203;</span><br /><span style="color:rgb(123, 140, 137)">I recall an event that some colleagues attended for a high profile climate change organisation. The speaker was high profile, the cause was clearly articulated but then it fell down on detail. Beef was served, which is well known for its environmental impact. The programs were printed on high quality gloss paper, without any consideration to sustainable paper stock. With a few small details, the event undermined its whole purpose. And this is what the audience saw. In this blog, I explore what biophilic design is and why it can be one of the simplest yet most impactful ways to elevate an event experience.</span></div>  <div>  <!--BLOG_SUMMARY_END--></div>  <div class="paragraph"><font color="#a1a1a1">Biophilia is the term given to describe humans innate biological connection with nature.&nbsp; The term emerged in the fields of biology and psychology and was later adapted for other fields such as neuroscience and architecture. Biophilic design became the strategy for incorporating nature into the built environment and a way to alleviate workplace stress, support performance, health, and community cohesiveness<font size="2">1</font>.<br />The evidence supporting biophilia shows nature has an impact our cognitive, psychological, and physiological function.</font><br /><br /><ul><li><font color="#a1a1a1"><strong>Cognitive</strong>&nbsp;- a connection with nature that is strong or routine provides the opportunity for mental restoration. While we&rsquo;re looking at nature, higher cognitive functions essentially &lsquo;take a break.&rsquo; This can increase our capacity for focus after the break as well as helping to alleviate cognitive fatigue.</font></li></ul> &nbsp;<ul><li><font color="#a1a1a1"><strong>Psychological</strong>&nbsp;- Being in nature or around nature provides greater emotional restoration, lowers tension, anxiety, anger, fatigue, and lessens confusion and mood disturbance.</font></li></ul> &nbsp;<ul><li><font color="#a1a1a1"><strong>Physiological</strong>&nbsp;- Our physiology is always responding to our environment and sensing nature or things that are analogous of nature can relax our muscles, lower blood pressure and reduce cortisol levels.</font></li></ul> <font color="#a1a1a1">&nbsp;<br />These cognitive, psychological and physiological responses<font size="1">1</font>&nbsp; that we have around nature act as a &lsquo;buffer&rsquo; to the stress we experience. Our bodies are designed to experience stress and mobilise in response before then returning to our baseline state before the stress occurred. Recovery from stress and returning to this baseline, completing the &lsquo;loop&rsquo; of the stress response, can be assisted by being present to nature and engaging this buffering. We know that having a sustained stress response is not healthy for our nervous systems and can make our tolerance window to stress grow smaller if there&rsquo;s ongoing inadequate recovery.<font size="1">2</font><br />&nbsp;<br />The good news is, we can influence and help our bodies&rsquo; innate recovery abilities and build healthy windows of tolerance to the stresses of life. Being exposed to nature and bringing it into our environments is one such way, and we don&rsquo;t need large spaces to do so. The psychological benefits of being exposed to nature increase with higher diversity rather than larger size, so small or micro-restorative experiences that are biodiverse are particularly effective for a restorative biophilic experience. A moment of sensory contact with nature through a window, TV screen, image, painting, water fountain or aquarium is enough to have an effect, and this is particularly useful in urban environments where sensory overload is common. Water also offers multi-sensory benefits. Seeing and hearing the same water feature on repeated occasions doesn&rsquo;t diminish water&rsquo;s impact on soothing stress, enhancing mood and restoring us after cognitive fatigue. A single, small nature feature can be adequate&nbsp;<em>(Biederman &amp; Vessel, 2006).</em><br />&nbsp;<br />In the retail setting, evidence shows customers judge businesses surrounded by nature and natural features to be worthy of prices up to 25% higher than businesses with no access to nature. In healthcare settings, patients with a view to nature rather than just a wall are more likely to experience hospital stays that are 8.5% shorter<font size="1">3</font>. One study also revealed that following a forest walk, men showed increased immune function for 30 days, while for women the effect was only seen for 6 days. This may mean women would benefit from prioritised indoor nature experiences or access to more prolonged outdoor experiences&nbsp;<em>(Li, et al, 2012).</em><br />&nbsp;<br />It&rsquo;s good to note, too, that biophilic design is not the same as a Green Star Design (LEED certified) space. While sustainably designed buildings are essential for our world, a building or space that meets these requirements may not have the benefits of biophilic design or necessarily be comfortable and productive. Anecdotally, this writer has worked in a brilliant LEED certified high-rise office but with few windows, less natural light and no views of nature in order to save energy, the effect was soporific rather than supporting focus and productivity!<br />&nbsp;<br />Biophilic design shows us that incorporating a few simple elements of nature into an event space really can make a difference and enhance the wellbeing and enjoyment of guests and audiences.<br />&nbsp;<br />With just a few small considerations, you can harness the power of biophilia and the power of our senses and leverage this for event success. I had previously relocated to Sydney for the 2000 Sydney Olympic and Paralympic Games. I knew the drill, we worked hard, mainly socialised with our event colleagues and our whole life centred around the event.</span><br /><br /><span style="color:rgb(123, 140, 137)">It didn&rsquo;t seem weird to work until 2am because your colleagues were often doing the same hours. When we had spare time, we hung out with our event buddies because they had all moved away from home for work too. It was like a (very full on) working holiday. We didn&rsquo;t have family and friends there to snap us back into reality.</span><br /><br /><span style="color:rgb(123, 140, 137)">Like many events, as it got closer, the hours and pressure increased - particularly for an event of such international political standing.</span><br /><br /><span style="color:rgb(123, 140, 137)">At the time you think, and are led to believe, that the whole world is watching this event. You soon realise that&rsquo;s not the case.</span><br /><br /><span style="color:rgb(123, 140, 137)">One night, as we worked back late (of course), preparing for our first Volunteer Induction, my manager&rsquo;s husband rang to say a plane had flown into one of the Twin Towers in New York. We immediately raced into the boardroom and turned on the TV to see for ourselves. At that moment, everything changed - but at the same time, stayed the same.</span><br /><br /><span style="color:rgb(123, 140, 137)">With CHOGM due to start on 6 October we faced constant uncertainty - would it go ahead, would it be cancelled, should we keep working, what do we tell our volunteers. Would it be threatened by terrorism? Would it be safe? Would world leaders travel out to it? Would action be taken against the Middle East and change the international world?</span><br /><br /><span style="color:rgb(123, 140, 137)">We were constantly assured that it would go ahead but everything else indicated otherwise. I remember working in the office on a Sunday just a week or so out when Foreign Minister Downer commented in an interview that &lsquo;it might not go ahead&rsquo;. Surely they would tell us, we thought. Surely they wouldn&rsquo;t allow us to keep working these crazy hours if it was going to be cancelled.</span><br /><br /><span style="color:rgb(123, 140, 137)">Of course the reality was that it was an ever changing environment.</span><br /><br /><span style="color:rgb(123, 140, 137)">On Friday 5 October, we had packed up our desks ready to move to the venue, with the Media Centre opening the next day. Everything was packed into boxes, we didn&rsquo;t even have a pen left out. We were exhausted but excited to get the event underway. We were running on adrenaline and knew it would carry us through the next week. We were ready.</span><br /><br /><span style="color:rgb(123, 140, 137)">I had even had my event haircut!</span><br /><br /><span style="color:rgb(123, 140, 137)">Then the call came. It had been cancelled. (We actually found out from the media first - an example in poorly coordinated communications.....)</span><br /><br /><span style="color:rgb(123, 140, 137)">We were immediately called in for a staff briefing and explained why the decision was made.</span><br /><br /><span style="color:rgb(123, 140, 137)">Then it was on to immediate actions we needed to take:</span><br /><span style="color:rgb(123, 140, 137)">- call all our volunteers so they heard directly from us, rather than reading it in the media (of course it didn&rsquo;t always work that way)</span><br /><span style="color:rgb(123, 140, 137)">- notify casual staff who we were due to start over the next couple of days</span><br /><span style="color:rgb(123, 140, 137)">- notify any suppliers (newspaper deliveries etc) that were booked in</span><br /><span style="color:rgb(123, 140, 137)">- unpack our boxes</span><br /><span style="color:rgb(123, 140, 137)">- have a taskforce get together that almost took the form of a wake</span><br /><span style="color:rgb(123, 140, 137)">- work out what to do on weekends that we now had free</span><br /><br /><span style="color:rgb(123, 140, 137)">(We didn't need to notify the&nbsp; media - they already knew since it had been sent out on the wires).</span><br /><br /><span style="color:rgb(123, 140, 137)">Then the shock set in. When you are running on adrenaline but you no longer need it, your body and mind reacts. I was exhausted but edgy, my mind was running but I had now stopped abruptly. I had all this adrenaline but nothing to do with it. We had worked tirelessly for months on end....for nothing. I now had my short manageable hair for no reason!&nbsp;</span><br /><br /><span style="color:rgb(123, 140, 137)">The weekend was the most surreal thing I have ever experienced and a complete daze.</span><br /><br /><span style="color:rgb(123, 140, 137)">On Monday we returned to work and it was a case of what now. With a federal election called not long after, the government went into caretaker mode which meant no decisions could be made on the rescheduled event. For over a month we were in limbo.</span><br /><br /><span style="color:rgb(123, 140, 137)">While it was a strange time it also taught me a lot. Lessons that I have carried through life. Here is what I learnt:</span><br /><br /><strong style="color:rgb(123, 140, 137)">Allow yourself time to grieve</strong><br /><span style="color:rgb(123, 140, 137)">Life will go on - but you have gone through shock. Allow yourself time to grieve what could have been, process what has happened, talk to friends and family and tell them how you are feeling. You don&rsquo;t need to immediately bounce back to being OK. You can feel down, worried and confused and that&rsquo;s OK. At the time it will seem the biggest thing in the world but you will get through it. The more you can talk about it, the more manageable it will become.</span><br /><br /><strong style="color:rgb(123, 140, 137)">Focus on your event only</strong><br /><span style="color:rgb(123, 140, 137)">At times like this it&rsquo;s easy to get overwhelmed by everything else that is happening but it&rsquo;s important to focus on your event that has been effected. Do not be overwhelmed by the bigger picture. Avoid the &lsquo;even that event is cancelled&rsquo;, &lsquo;have you heard about that event&rsquo; conversations etc. Focus on yours only.</span><br /><br /><strong style="color:rgb(123, 140, 137)">Focus on what you can control</strong><br /><span style="color:rgb(123, 140, 137)">There are so many, internal and external, factors that we can&rsquo;t control. Focus on your area and what you can do. Each little step, each little action you can take, even if it&rsquo;s just making to do lists, will help.</span><br /><br /><strong style="color:rgb(123, 140, 137)">Do not look in the rear view mirror</strong><br /><span style="color:rgb(123, 140, 137)">Do not spend time on the &lsquo;what if&rsquo;s&rsquo; or &lsquo;this is when the event should have been&rsquo;. The event has been cancelled or postponed - that is fact. Focus on the future now.</span><br /><br /><strong style="color:rgb(123, 140, 137)">Make the most of the second chance</strong><br /><span style="color:rgb(123, 140, 137)">How many times have you worked on an event and thought &lsquo;next year we&rsquo;ll make this change&rsquo; or &lsquo;next time we can do this part better&rsquo;? Well you now actually have that chance. Use all those learnings to plan an even better event next time &ndash; even if the format is different.</span><br /><br /><strong style="color:rgb(123, 140, 137)">Get out of the bubble</strong><br /><span style="color:rgb(123, 140, 137)">Event life can often be an all-consuming bubble. This can be a good thing but it can also mean we feed off each other&rsquo;s stress and worries. Make sure you invest in life outside events. Be kind to yourself.</span><br /><br /><strong style="color:rgb(123, 140, 137)">We don&rsquo;t know what the future will look like and that&rsquo;s OK</strong><br /><span style="color:rgb(123, 140, 137)">No one knows when events will resume, how quickly they will recover or what they will look like in the future. And that&rsquo;s OK. What is most important is that we can adapt and be nimble and not dwell on &lsquo;what we used to do&rsquo; but realise there might be a new normal, for the short term anyway. What is certain though, is that events will return and we&rsquo;ll be stronger for it.</span><br /><span style="color:rgb(123, 140, 137)">&#8203;</span><br /><strong style="color:rgb(123, 140, 137)">Use the downtime wisely</strong><br /><span style="color:rgb(123, 140, 137)">Life goes on. Read those event blogs you have always wanted to. Listen to podcasts you have on your list. Catch up for coffee with people you have been meaning to. Read those books that have been piling up. Attend webinars you have never had time for. Even binge watch that Netflix series you have missed because of the long hours you have been working.</span><br /><span style="color:rgb(123, 140, 137)">&nbsp;</span><br /><strong style="color:rgb(123, 140, 137)">Maintain some normality</strong><br /><span style="color:rgb(123, 140, 137)">Maintain your routine (as much as you can). Let your routine be your anchor during the uncertain times.<br /><br />The last five years has forced and taught us all to adapt - and it has shown that we can and will. These things affect our mood, concentration, learning, can reduce stress via reductions in blood pressure and heart rate, can impact our alertness during the day and our sleep at night, and increase productivity and self-reported rates of wellbeing.<br /><br />There is countless research on how activating our various senses actually impacts how we experience or perceive a situation.<br /><br />The German Christmas Markets know this all too well. Not only does this tantalize our sense of smell immediately, creating a festive ambiance as well as tapping into childhood memories, these are the smells associated with warmth, even more attractive when people are looking to rug up in the winter chill.</span><br /><br /><font size="3" style="color:rgb(123, 140, 137)"><em>Smell is one of the most under leveraged but most powerful of your senses. In fact the Sense of Smell Institute found that visual recall of an event falls to around 50% three months later, but a smell can be accurately recalled 65% of the time a whole year later. These culinary delights contribute to the sensory experience and add to the magical atmosphere.<br />&#8203;<br /><font size="3">&#8203;<em>Note: Did you know that by the time we are 20 years old, we have half the number of tastebuds we had as children? However, our gustatory perception, or sense of taste, remains a highly impactful and essential part of our sensory perceptions of the world. It powers us to look for and consume the food we need in order to live and be well. The taste buds on our tongue, working in conjunction with our sense of smell, are designed to recognise the chemical makeup of molecules in our food and drink.
